Printing, binding and distributing documents for meetings is a hassle. When I prepare meeting materials, my manager and the attendees get them at the meeting. They don't have time to review the materials before we need to discuss them."
Save documents for the meeting on a shared server, and ask attendees to review them before the meeting.
By going paperless, you'll save time and resources, and reduce costs.
Meetings will be more efficient as you won't have to spend precious meeting time distributing and reading documents. Instead attendees will come prepared to discuss the issues.
Companies that implemented best practices for meetings said that sharing meeting agendas and materials beforehand had a positive effect.
For more information, refer to page 39 of the Work Culture Reform Playbook (Japanese only PDF).
During the meeting, display the agenda on a screen so everyone can see it. Attendees won't need to print out their own copy, and will therefore avoid wasting paper.
Attendees will also be more focussed on the screen and discussion.
